O pozici

We are looking for an experienced and proactive Assistant to provide high-level administrative and organizational support to a General Manager and administrative support to his management team. In this role, you will become a trusted partner in ensuring smooth day-to-day operations, efficient coordination and professional communication across internal and external stakeholders.

Purpose of the role

Professional and timely implementation of all administrative tasks and a separate settlement of organizational issues and coordination of tasks on behalf of the Manager.

Key responsibilities

  • Provide professional and timely administrative support to the General Manager (GM) and ensure efficient handling of organizational tasks and provide administrative support for the management team.
  • Manage correspondence, presentations, documents, and invitations in Czech and English using MS Office.
  • Coordinate calendars, appointments, meetings, and deadlines based on priorities agreed with GM.
  • Organize meetings, including room booking, logistics, refreshment, preparation of materials, and taking meeting notes. Organization of business events for management team.
  • Arrange business travel, including bookings, travel documents, insurance, accommodation, and travel expense overview.
  • Support communication with internal and external partners and relay information on behalf of the GM.
  • Handle incoming and outgoing mail, document circulation, signatures, filing, and archiving.
  • Manage guest visits, office supplies, invoice administration, and other ad hoc tasks as needed.
  • Assist with holiday and absence tracking for the supported team as required.
  • Translations and interpretations into Czech and English.

We are looking for a new colleague who has:

  • Advanced communication and collaboration skills.
  • Strong organizational and prioritization skills, with the ability to work independently.
  • Previous experience as an Executive Assistant, Personal Assistant, or in a similar support role.
  • A professional and reliable approach.
  • Ability to work under pressure, manage multiple priorities, and stay one step ahead.
  • Proficiency in MS Office.
  • Fluent in Czech and English; German is an advantage.
  • Basic AI skills.
