Position Overview:
We’re looking for an Executive Assistant to work closely with our managers and Prague team. Someone who is highly organized, proactive, and not afraid to handle multiple priorities at once. You’ll be the go-to person for keeping order in the chaos of a fast-moving company.
Your responsibilities:
- Executive, organizational, and administrative support for company management
- Purchase items for projects and office needs
- Assist with budget tracking and preparation of expense reports
- Invoice processing
- Handle sensitive information with discretion and professionalism
- Prepare meeting notes and summaries for management
- Create and format slide decks and presentations
- Communicate with subcontractors, partners, and clients to collect inputs and documents
- Gather background information on target companies, competitors, and new opportunities
- Format proposals and support compliance with templates (ESA, TAČR, and other grants/programmes)
- Prepare the CEO & CTO for conferences – bios, company profiles, target meetings
- Arranging domestic and international travel, including flights, hotels
- Supporting HR – onboarding / offboarding management
- Event management – supporting planning and logistics for events and company meetings
- Supporting the team and keep the office running smoothly
- Taking care of our visits – welcoming guests, arranging meeting rooms, preparing refreshments and coffee
Who we are looking for:
- Higher education in a relevant field (e.g.: Economics, Business Administration) or equivalent experience
- At least 2 years of experience in a similar role
- Excellent communication skills, both written and verbal
- Fluent English (both spoken and written), any additional language is a plus
- Comfortable with Google workspace, MS Office. Experience with Asana and any accounting tool (Money or Pohoda) is an advantage
- Attention to detail, independency and accuracy in completing tasks, proactive approach
- Excellent organizational and time management skills
- Ability to work independently and in a team
