About the job

The Office Manager represents the company when handling incoming phone calls and receiving guests. He/she also takes care of contracts and relations with vendors and partners.

About the office

Our office is in Modletice, outside Prague. We have about 15 people, originating from different countries. The well-being of these people is important, and the workplace plays an important role in this. We constantly look for ways to make it better. Our common language is English.

Tasks

Running the office

  • Welcoming guests and handling phone calls
  • Run errands to the post office, shops
  • Taking care of daily office operations
  • Support the Branch Manager with related tasks
  • Managing office supplies and equipment, refreshment
  • Ensuring a safe and comfortable work environment (Occupational Health and Safety Work Courses)

Property management (Inventory of company assets)

  • Vehicle management
  • Insurance disposal of vehicles, coordinating with a broker
  • Scheduling regular maintenance, coordinating repairs

Cooperation with the finance department

  • Maintaining records like financial receipts, cash desks
  • Card payments in the accounting system (Exact)
  • Keeping track of holidays, illness

HR Management

  • Ensuring gifts for employees
  • Teambuilding and other events
  • Recruitment and vacancies posting
  • Monthly charging of the benefits card

Happiness Management

  • Coordinating yoga, massages, and training at the workplace

Supporting other departments/ Relocation services (partially)

  • Works in a team and supports colleagues to achieve common goals
  • Creating customer files and data entry in the system
  • Supporting the home and school searching service for the client
  • Administration´s help with sending workers abroad

Requirements

  • Fluency in English and Czech
  • A positive and friendly person who spreads good cheer
  • Excellent computer skills
  • High level of organization and accuracy
  • Not afraid to step out of your comfort zone
  • Ability to work under stress
  • Czech residence and work permit
